Make a form
- Open Email → Forms and select New form.
- Give it a name. Only your team sees the name.
- Add the fields you need. Email is always asked.
- Choose what happens when someone sends it.
- Select Create form.
Your own forms put new contacts in your book. A brokerage form leaves them for lead routing or an admin.
Fields
Select Add a field, then Edit to set it up. Use the arrows to change the order.
- Type. Short answer, long answer, email, phone, date, number, a drop-down list, one choice, several choices, a tick box, or hidden.
- Required. People must answer before they can send the form.
- Choices. For a drop-down list, one choice or several choices.
- Saves to. The answer fills this contact field when the field is empty. A teammate's value is never replaced. You can choose your custom contact fields too.
- Key. Automations, links and website code use this name.
A hidden field is not shown. It keeps a value that you set, for example the market. A link can set it: add ?market=gulf to the form's address.
When someone sends it
- Lists people join. Optional. Joining a list is the person's consent. Write What people agree to. These words show next to an unticked box.
- Tags to add. Up to 10 contact tags.
- Capture as a lead. Lead routing chooses the agent. A deal starts in a Lead stage, unless the person has an open deal. Choose the side and the field that holds their message.
A form without lists does not show a box. It only collects answers.
Each form can start an automation. Use the trigger A form is sent. Conditions can use the answers.
Put it on your website
Select Get link on the form. You get four choices:
- Link. Send it, or link to it from a button.
- Embed. Paste the iframe code into your website where the form should show.
- Plain HTML. For a site that styles its own forms. Keep the box, its words and the hidden field as they are.
- From your website's server. Your server sends the answers with a server key. Make the key on the Website page in Automations, under Server events. We show the key once. Never put the key in a web page.
See the submissions
Select Submissions on the form. The newest are first. Select Download CSV to get a file with a column for each field.
What we keep as proof
Each sign-up to a list keeps:
- the form and the words the person agreed to;
- the page the form was on;
- the time, the IP address and the browser.
Open the contact's Subscription history to see it.
Confirm by email
If a list asks new subscribers to confirm (double opt-in), people get an email first. They join after they press Confirm subscription. The confirmation keeps its own time, IP address and browser.
Someone who unsubscribed before also gets a confirmation email. Nobody can sign another person back up.
Spam
A hidden field and a speed check stop most bots. Each connection can send a form 20 times an hour.
