Two ready templates
Two automation templates have the label Stay in touch:
- Birthday greetings & reminders: a birthday email on each contact's birthday, every year.
- Home anniversary greetings & reminders: an email every year on the date that a client got the keys.
Each one also reminds the contact's owner two days before, in the app and by email. Each email comes from the contact's agent. Replies go to the agent.
Use a template
Open Automations → Templates. Find the template under Library, in the Stay in touch group.
Select Use template.
For Email, keep A new email from the template's design to get your own copy of the animated email. For List, choose the list of people who can get it.
Select Make the draft. The draft opens in the builder. Check the time and the steps.
Select Save draft, then Publish. Nothing sends until you publish.
Only people subscribed to the list get the email. Every email has an unsubscribe link. For the full details of each template, see Templates.
The email
Your copy of the email is in Email → Templates, with the category Stay in touch. Edit it in the builder, then publish it. Then publish the automation again, so it sends the new version.
Sign the email with the agent fields, for example {{agent.name}} and {{agent.phone}}. See Templates and the builder.

The dates
- Birthday. Add it on the contact. A birthday without a year is fine. A February 29 birthday gets its email on February 28 in other years.
- Home anniversary. When you mark a buyer's deal won, Berchtold fills it with the closing date, if it is empty. You can also type it on the contact.
For the whole brokerage
An admin can run an automation for the contacts of every agent. Make a new automation without a template. Select Brokerage program before you save it. A draft from Use template can't be a brokerage program.
Each agent can then select Turn off for my contacts on a published brokerage program. An agent who uses their own copy turns the brokerage one off, so nobody gets two emails.
