Connect Calendly

Connect your own Calendly so each booking comes into the CRM as a contact, with the answers people give, and starts a lead.

Workspace settingAvailability is controlled by your workspace. Ask your administrator about access.

When someone books time with you on Calendly, Berchtold adds them to your contacts. It logs the meeting on their Activity. A booking can also start a lead. Each person connects their own Calendly. Your bookings are yours.

Connect your Calendly

  1. Open Settings → Integrations. Find Calendly in Your connections and select Connect Calendly.
  2. Keep Sign in with Calendly selected, then select Continue to Calendly.
  3. Sign in to Calendly and allow access. Calendly sends you back to your Calendly card.

Use a Calendly key instead

  1. In Calendly, open Integrations, then API & Webhooks, then Generate new token.
  2. Let the token read users, event types and scheduled events. Let it read and write webhooks.
  3. In Berchtold, select Connect Calendly on your Calendly card, then select Use a Calendly key.
  4. Paste the token, then select Connect Calendly.

Berchtold checks the token with Calendly before it saves it. Keep the token private.

What comes in

  • Each person who books is a contact, matched by email, with the source Calendly and you as the owner. Berchtold fills only a blank first name, last name or phone. It does not change a field a person set.
  • Each booking is a Meeting entry in the contact's Activity. It shows the event type and the meeting time in your time zone. It also shows each question with its answer, and where the person came from when Calendly has it.
  • A booking starts a lead in a Lead stage, unless the person has an open deal already. Lead routing, the follow-up task and the new-lead notice work as they do for your website's forms.
  • A cancel, a reschedule or a no-show adds an entry to the same contact. A cancel does not close the lead.
  • A booking by a member of your workspace, such as a team meeting, is not added.

Choose which bookings start a lead

Your Calendly card lists your event types. Each has a switch. When it is on, a booking of that event type starts a lead. When it is off, the booking is only added to the contact's Activity. Every event type starts on. Turn off the ones that are not for new business, for example a coffee with a past client.

When bookings arrive

  • On a paid Calendly plan, Calendly tells Berchtold about each booking at once.
  • On a free Calendly plan, Berchtold checks for new bookings every 15 minutes.

Your Calendly card shows which one you have. Select Check now to look for new bookings at once.

Your past bookings

The first check brings in your bookings from the last 12 months. A booking made before you connected is history only: it starts no lead, sends no notice and starts no automation.

Disconnect

Open your Calendly card, select Manage, then Disconnect. Berchtold stops getting your bookings. Contacts and entries that came in stay.

Connected AI tools

Claude, ChatGPT and Muse can read how your sync went (crm_calendly_status). They can check for new bookings now (crm_calendly_check). They can also choose which event types start a lead (crm_calendly_event_type). The bookings themselves are contacts and Activity, which these tools already read.
