MLS listings on properties

Add a property from the MLS, keep its facts current from the MLS, see its photos, and request MLS access for your workspace.

Workspace settingAvailability is controlled by your workspace. Ask your administrator about access.

Berchtold can show MLS listing data on your properties. A property that follows an MLS listing gets its address, facts, price and status from the MLS. A change in the MLS shows in Berchtold within 15 minutes.

MLS data comes to Berchtold through MLS Grid. Your workspace needs an MLS license first. See Request MLS access.

Add a property from the MLS

  1. Open Deals → Properties.
  2. Select Add from MLS.
  3. Type an MLS number, or a street address. For example, 25012345 or 12 Elm St.
  4. Select Add property on the listing.

The property page opens with the fields filled in. If the property is already in Berchtold, it opens, and it now follows the listing. You do not get a second copy.

The photos come a few minutes later. The Listing section says "Photos are on the way" until they arrive.

What follows the MLS

These fields follow the MLS while the property is linked:

  • the address, county and MLS number;
  • the property type, beds, baths, square feet, lot size and year built;
  • the list price and the listing status.

Each one shows a green sync icon. You can't change these fields in Berchtold, because they come from the MLS. Change them in the MLS. Select the icon to see where the value comes from.

Other fields, notes, tasks and deals stay yours. You can change them as usual.

The price history records each price or status change from the MLS. The property's history names the MLS as the source.

The Listing section

The property page shows a Listing section with:

  • the photos (select one to see them all; the arrow keys move between photos);
  • the status, price, days on market and dates;
  • the listing agent and office;
  • the remarks.

These come from the MLS each time you open the page. They are not copied into the property. The section ends with the MLS's attribution line and the time of the data.

Your own listings

Add your MLS member ID to your details on the roster: open Deals → Lead routing and use MLS member IDs. Select Find my ID to look for MLS agents with your email.

Your own active, coming soon and pending listings then appear in your book without a click. So do your listings sold in the last year.

When a property has the exact MLS number of a listing, it links to that listing at once.

When only the address matches, the property page asks: "Link to MLS listing 25012345?". Select Link listing, or Not now.

When a listing changes

  • The price or status changes: the property updates within 15 minutes.
  • A listing goes Pending: a listing-side deal gets a suggestion in Next steps. It moves the deal to Under contract. Berchtold marks the agent's "Change the MLS status to Pending" task done. See Built-in work on deal tasks.
  • The listing leaves the MLS feed: the property keeps its address and MLS number. The other MLS values and the photos are removed. The Listing section says "This listing is no longer in the MLS feed." You can edit the fields again.
  1. Open the property.
  2. Select More actions (the three dots), then Unlink from the MLS.
  3. Select Unlink.

The property keeps its values, and you can edit them again. The MLS no longer updates it. Its listing photos are removed.

Request MLS access

Workspace admins can request access:

  1. Open Settings → Integrations.
  2. In the MLS card, select Request MLS access.
  3. Choose who signs: a Broker (the license covers everyone in the workspace) or an Agent (it covers only that agent).
  4. Type the signer's name and brokerage exactly as the MLS has them, with the same capitals. MLS Grid compares them when the signer signs.
  5. Select Send request.

Berchtold adds the request in MLS Grid. MLS Grid emails the signer an agreement to sign. After the MLS approves it, MLS data shows in your workspace, and the workspace admins get a notice.

The MLS card lists your licenses with their status. Select View agreement to open a signed agreement.

MLS data and AI

MLS data stays in Berchtold. It does not go to AI models. Claude, ChatGPT and other AI tools that connect to Berchtold do not get it. In those tools, a property that follows the MLS shows its address and MLS number only. You can still link and unlink properties through them by MLS number.

If something looks wrong

  • "Your workspace has no MLS access yet.": a workspace admin can request it in Settings → Integrations.
  • "MLS data last updated at 8:05 AM.": the MLS data is more than an hour old. Berchtold is told and works on it.
  • No match: check the number, or try the street name.
