Elsa, your Transaction Coordinator

Elsa handles each deal from contract to close. See what she does on a deal, set how much she does, and turn her off for one deal.

Elsa is your Transaction Coordinator. She handles each deal from contract to close. Your workspace can give her another name and title.

A person stays in the loop. A person approves anything that leaves the team. A person does anything that needs a license, a judgment, a signature or a phone call. Elsa never advises a client, negotiates, says what the contract means or signs. She sends those items to the agent. The agent stays the owner of the deal.

What Elsa does on a deal

Open a deal that is under contract. Contract to close lists the contract's deadlines and Elsa's duties in date order. Each line says who does it and its state:

  • Done: Elsa or a person did it. The line shows when.
  • Waiting for approval: Elsa's draft or suggestions wait for a person. Select Review draft or Review.
  • Needs a person: it is a person's turn. For example, a passed deadline needs an answer.
  • Upcoming: it is not due yet. The line shows the date.
  • Not recorded: there is no record of it on this deal. This is not an error. A deal can be older than this list.
  • Not needed: it does not apply to this deal yet.

Elsa's duties today are these:

  • Read the contract: she reads the signed contract into suggested dates, price, people and terms.
  • Deadlines and their tasks: she lists the contract's deadlines and makes a task for each dated one.
  • Closing transmittal: she makes it and drafts its email to the title company.
  • Contact details: she compares each person's name, phone and company with the sources.
  • Agent reviews: she emails each agent a daily and a weekly review.
  • Passed deadlines: she asks about each passed deadline. Is it done, extended or a problem?
  • Amendments and extensions: she reads an amendment into new dates for a person to approve.
  • Lender and title check-ins: she drafts a check-in 3 days before their deadline.
  • Mark the deal closed: she suggests the closed stage when the transaction platform shows the deal closed.

In People, Elsa shows under Our team. The deal's coordinator and any outside coordinator show there too.

The three levels

Each duty has a level. The level says how much Elsa does.

Some duties are locked. A locked duty is never level 1, because it changes dates, money or the stage. A locked duty shows a lock and the reason.

Set the level of each duty

You need the Configure permission in CRM.

Open Elsa's settings

Open Deals → Transactions and select Elsa settings.

Choose the levels

Find Elsa's duties. For each duty with a choice, choose its level. For Deadlines and their tasks, choose who gets the tasks: the deal's coordinator, or the deal's agent.

Save

Select Save duties. Deals use the new levels now.

These choices change what Elsa does:

  • Read the contract at level 3: Elsa does not read a signed contract by herself. A person selects Read the contract.
  • Lender and title check-ins at level 3: Elsa does not draft check-ins. A person checks in, and Elsa's review reminds them.
  • Mark the deal closed at level 3: Elsa does not suggest the closed stage. A person marks the deal Won.
  • Deadlines and their tasks: the tasks go to the person you choose. A deadline that names a person keeps that person.

The other duties have one level. Their line shows it.

Turn Elsa off for one deal

You need to be able to edit the deal.

Find Elsa in People

Open the deal. In People, find Elsa under Our team.

Turn her off

Select the menu on her line, then Turn off Elsa for this deal.

Her line then says Off for this deal. Select Turn on to bring her back. An agent can also turn Elsa off for all of their own deals in Elsa settings.

Give work to a coordinator

The deal's coordinator is a member of your workspace. Set the coordinator in More details on the deal. Deadline tasks go to the coordinator unless an admin sends them to the agent.

In an automation, the Create task step can go to The deal's coordinator (else the owner). An outside coordinator is not a member, so they cannot get tasks. They work on the deal from their own deal page.
